Introducing Workflows: route and automate every submission

Summary

Workflow is a visual canvas that decides what happens after each submission. Route submissions with If / else conditions, chain email notifications, autoresponses, webhooks, Slack, Discord and Google Sheets, update statuses, and see the result of every action, with a retry for any step that fails. Email notifications, conditions and status actions are on every plan, including Free.

Workflow is now available on every plan. Each form gets a visual canvas where you decide what happens after someone submits it: who gets notified, which tools receive the data, and how the submission is filed.

Until now, every action ran for every submission. With Workflow, one contact form can send sales enquiries to your sales team and support requests to your support inbox, and a quote form can add every lead to Google Sheets but alert Slack only when the budget is worth a call.

New

  • Visual workflow canvas: Build each form’s workflow from Submission received downwards. Add a step with +, insert one between existing steps, drag steps around or select Rearrange to tidy the layout.
  • Route submissions with If / else: Branch on the answers in a submission. Branches are checked in order (If, any Else if, then Else) and the first match wins.
  • Conditions on real data: Check form fields, sender details and tracking data such as UTM parameters. Compare text, numbers, dates, email and URL domains, phone country codes, or uploaded files by count, extension and size, and combine conditions with Match all or Match any.
  • Several actions in one flow: Send email notifications and autoresponses, call a webhook, post to Slack or Discord, add a row to Google Sheets, change the submission status, or move it to Spam or Trash. Steps before a branch run for every submission; steps on a branch run only for matching ones.
  • See what happened to every submission: Each submission has a Workflow section showing which actions ran and the error behind any failure, and failed submissions get an error badge in the inbox. Settings → Logs filters every result by status and action type.
  • Retry just the failed action: Fix the cause, then retry the one action that failed instead of re-running the whole workflow. For a failed email, only the failed recipient is retried.
  • Run workflows for restored spam: Submissions caught as spam don’t run your workflow. If you restore one to the inbox, select Run workflow to process it.
  • Publish when you’re ready: Edits stay in a draft until you select Publish, so live submissions keep using the published workflow. Revert changes discards a draft, and Forminit points out anything incomplete before you publish.

Get started

  1. Open a form in your dashboard and select Workflow in the form header (desktop layout).
  2. Select + beneath Submission received and choose an action, or add an If / else step to branch.
  3. Configure each step, then select Publish.
  4. Send a test submission and check its Workflow section.
